Having finished setting up the GTX account now it is time to configure Eyesoft so that it can send SMS.

  • Log into the user and locate in the settings menu -> Agenda

  • Once you get to this screen the following parameters should be configured, they are given below in blocks:

  1. First Block: GTX Block and Sender Name

  • In this block the previous data extracted from the GTX portal will have to be entered, and secondarily a sender of maximum 11 characters will have to be set.

  1. Second Block: Automated Submission Settings, Submission Timing and Text.

  • Automated Submission Settings: The first setting we are going to enable is the automatic sending of SMS for appointments for that particular user, this is done by setting the button to Yes.
    • N.B: The automatic submission procedure will then be enabled by Siplus on the server side so once all this is completed send an e-mail to: [email protected] or call support number 091 936 11 11.

  • Submission Timing: The second setting that will need to be set is the timing of SMS sending, i.e., how many days in advance the SMS should be automatically sent to the patient.
    • N.B: Since the automatic procedure is performed every day at 10 am. SIplus recommends a minimum of 3 days for sending the SMS, so taking the weekend case scenario as an example, the SMSs of Monday appointments will always leave on Friday thus leaving time for the patient to be able to notify the doctor's office if the patient is unable to attend the appointment.

  • Text: The last item to be set is the text that will be sent to the patient. In the screenshot you can take a look at a standard text.

    • N.B: SIplus recommends not to exceed 145 characters in length this is to avoid possible double charging by the texting company as too long text or possible incompatibility with patients' phones.

  1. Third block: Setting SMS sending per agenda or per Doctor

  • Setting SMS sending per agenda or per Doctor: This setting defines which parameters to rely on when sending text messages to the patient. This is because, as there is the possibility in eyesoft to also create agendas per entity (e.g. oct room or optometrist), if we select:

  • A. All Agendas: The system will scan the various agendas in which there is a user match in Main and will send each first patient found in the agendas of these doctors a single SMS. So if Mr. Muster is present in Dr. Demo's agenda at 10.00 a.m. and in the "OCT room" agenda at 11.00 a.m., the latter will only receive one SMS as the system has found him in the doctor's agenda.

  • B. Doctor's agenda: In this case the system will instead send an SMS for each existing agenda to each patient entered -> This may cause multiple SMS to be sent.
    • N.B: SIplus recommends that you always use the All Agendas function.

  • N.B_1 :All the settings described above must be entered by hand in each user where the SMS function is to be activated

N.B_2: Here is the document explaining how the SMS system works and the troubleshooting techniques involved.

After completing this procedure contact siplus to make an appointment so that together we can check everything and begin sending SMS messages.
